1. Scope of Services
Neptun M.H Travel & Tours provides planning, reservation, coordination, and logistical-administrative support services related to tourism services in the Philippines.
The service commences at the moment planning work begins, including the preparation of an itinerary, program, or scope of services, following consultation with the client or partner. Such work may begin weeks or months prior to the planned arrival.
The scope of services may include, but is not limited to:
preparation of an initial itinerary or travel concept,
consultations and recommendations regarding local tourism services,
communication and coordination with local service providers (including tour operators, hotels, and transport companies),
coordination of reservations and logistical arrangements,
logistical and coordination support before arrival and during the stay.
All tours, activities, transportation, accommodation, and other tourism services are performed and delivered by independent third-party service providers.
Neptun M.H Travel & Tours does not act as the organizer or seller of complete travel packages, unless explicitly agreed in writing.
2. Agreement
Submitting an inquiry, commencing planning work, confirming a reservation, or approving any stage of service constitutes acceptance of these Terms & Conditions.
The detailed scope of services, stages of execution, and financial terms may be agreed individually in a contract or written correspondence with the client or partner.
3. Stages of Service and Fees
Services provided by Neptun M.H Travel & Tours may be delivered in stages, depending on the scope of cooperation and individual arrangements.
Stages may include, in particular:
planning and itinerary preparation stage,
reservation coordination and logistical arrangement stage,
on-site logistical and coordination support stage.
Fees may be agreed separately for each stage, including but not limited to:
itinerary or program preparation,
reservation and logistics coordination,
logistical and communication support during the stay.
Commencement of planning work may be subject to a separate fee, regardless of whether services provided by third-party suppliers are later executed.
4. Payments
Payment terms depend on the type of service, the stage of execution, and the policies of the relevant third-party service providers.
Payments may be:
made in advance (online), or
paid directly on-site to the third-party service provider,
depending on supplier requirements.
Neptun M.H Travel & Tours does not collect payments for services payable directly to third-party providers.
Fees for services rendered by Neptun M.H Travel & Tours (including planning, coordination, and logistical support) are charged separately, in accordance with individual agreements.
5. Reservation Confirmation
Upon confirmation, clients will receive relevant information related to the confirmed reservation or agreed service stage.
Neptun M.H Travel & Tours is responsible solely for the proper performance of planning, coordination, and communication services, and for the accuracy of information provided.
6. Cancellations and Refunds
Cancellation and refund policies depend on the stage of service execution and the terms applicable to third-party service providers.
Planning and preparatory services are intangible in nature and are charged based on work performed.
In particular:
fees for commenced planning and preparatory services may be non-refundable,
cancellation of services delivered by third-party providers is subject to their individual terms and conditions.
All cancellations must be submitted in writing (email or messaging application).
7. Changes and Rescheduling
Changes to service dates or stages are subject to availability and approval by the relevant third-party service providers.
A reduction in the scope of services or number of participants may be treated as a partial cancellation.
8. Travel Insurance
All participants are strongly advised to obtain comprehensive travel insurance covering medical expenses, trip interruption, and unforeseen events.
Certain activities may require proof of insurance in accordance with supplier requirements.
9. Scope of Support and Coordination
Neptun M.H Travel & Tours provides logistical, coordination, and communication support during the planning, preparation, and execution of agreed services.
Such support may include:
assistance with communication between clients and local service providers,
logistical and organizational support prior to arrival,
coordination and informational support during the stay.
This support is administrative and coordination-based and does not constitute direct operational supervision of service delivery.
10. Liability and Selection of Service Providers
Neptun M.H Travel & Tours shall not be liable for:
acts, omissions, or negligence of third-party service providers,
weather conditions, natural events, governmental actions, or other circumstances beyond our control,
delays, injuries, losses, or damages occurring during service delivery.
Neptun M.H Travel & Tours cooperates exclusively with verified and legally operating local service providers, whose services:
we have used personally, or
we will test or verify prior to offering, particularly when new providers are requested or expected by the client.
Service providers are selected with due diligence; however, Neptun M.H Travel & Tours is not responsible for the manner in which third-party services are performed.
Any liability of Neptun M.H Travel & Tours shall be limited to the amount paid directly to us for planning, coordination, or reservation services rendered.
11. Governing Principle
Neptun M.H Travel & Tours acts solely as a planning, reservation, and coordination intermediary, and all services are subject to the individual terms, conditions, and operational rules of the respective third-party service providers.
12. Cancellation of Neptun M.H Travel & Tours Services
Cancellation of services provided by Neptun M.H Travel & Tours applies exclusively to planning, coordination, reservation, and logistical support services, and does not affect services delivered by third-party providers.
Conditions for cancellation of our services are agreed individually and regulated by contract or written confirmation, depending on:
the scope of services,
the stage of execution,
the amount of work performed up to the time of cancellation.
In the event of cancellation after planning or coordination work has commenced:
fees for completed service stages may be non-refundable,
settlement may be limited to the scope of work actually performed, in accordance with contractual arrangements.
Cancellation of our services does not automatically alter the cancellation policies of third-party service providers.
